("Orbit", "we", "us", "our") collects, uses, discloses and protects personal data in the course of our business, in accordance with the Personal Data Protection Act 2010 of Malaysia ("PDPA"). It applies to enquirers, customers, marketplace sellers, supplier contact persons and website visitors who provide us with personal data.

Depending on how you interact with us, we may collect: your full name; company name and designation; email address; phone number; billing, delivery and warehouse-fulfilment addresses; order details including product preferences, case quantities and sourcing specifications; marketplace store or seller account references where relevant to dropshipping or fulfilment support; payment reference information (we do not store full card numbers); and any other information you choose to include in a sourcing brief or purchase order.
We collect personal data directly from you when you submit our website enquiry or checkout form, email or call us, issue a purchase order, brief us on a sourcing request, or otherwise communicate with us in the course of a business relationship. We do not purchase personal data from third-party data brokers or list vendors.
We use personal data to: prepare landed-cost quotations; process, source and fulfil orders; coordinate sample approval and factory production; arrange freight, customs clearance and warehousing at our Petaling Jaya facility; ship to you, your marketplace buyers, or your own customers as part of dropshipping and fulfilment support; issue invoices and process payments; respond to enquiries and provide customer support; and, where you have given consent, send updates about new sourcing categories or catalog additions. We do not use personal data for automated decision-making that produces legal or similarly significant effects on individuals.
We process personal data on the basis that you have provided it voluntarily for the purpose of obtaining a quotation, placing an order, or otherwise engaging our sourcing or fulfilment services, which constitutes consent under the PDPA, and because processing is necessary to perform a contract with you or to take steps at your request before entering into one. Where we rely on consent for optional communications, such as marketing updates, you may withdraw that consent at any time as described in Clause 10.
Because our business is built around direct-factory sourcing from China, personal data such as a specification, delivery address or recipient contact detail may be transferred to a factory, freight forwarder, customs broker or courier located outside Malaysia solely for the purpose of sourcing, producing or completing an international shipment. Where this occurs, we take reasonable steps to ensure the receiving party affords the personal data a standard of protection comparable to that required under the PDPA.
We retain personal data for as long as necessary to fulfil the purpose it was collected for, to satisfy accounting and tax record-keeping obligations under Malaysian law (generally seven years from the relevant transaction), and to resolve any dispute or defend a legal claim. Enquiry or sourcing-brief data that does not result in an order is retained for a reasonable period to allow follow-up, after which it is deleted or anonymized if no further engagement occurs.
We apply reasonable administrative and technical safeguards to protect personal data against unauthorized access, alteration, disclosure or destruction, including restricting access to customer records to staff who need it to perform their role. No method of transmission or storage is completely secure, and while we work to protect personal data, we cannot guarantee its absolute security.
Under the PDPA, you have the right to request access to the personal data we hold about you, to request correction of inaccurate data, and to withdraw any consent you previously gave for us to process your data for a particular purpose, including marketing communications. To exercise any of these rights, contact us using the details in Clause 14. We will respond within a reasonable time and in accordance with the requirements of the PDPA, noting that withdrawing consent may affect our ability to continue providing services that depend on that data.
Our services are directed at businesses and adult individuals acting in a business capacity. We do not knowingly collect personal data from children, and any personal data submitted to us is expected to belong to an adult authorized to act on behalf of their organization.
